Health & Safety Policy

Our commitment to a safe, hygienic, and inclusive environment for every client and team member.

Governing Legal Framework

This policy is made in compliance with the Labour Act 2074 B.S. (2017 A.D.) (Part 5: Occupational Health and Safety), the Public Health Service Act 2075 B.S. (2018 A.D.), the Drug Act 2035 B.S. and Department of Drug Administration (DDA) cosmetics regulations, and the Workplace Safety and Health Regulations 2017. All Glow & Grace studios operate in full compliance with these regulations.

1. Our Commitment

Glow & Grace is committed to maintaining the highest standards of health, hygiene, and safety across all our studios throughout Nepal. The physical and emotional wellbeing of our clients, artists, and staff is our foremost priority.

Every team member is trained in our health and safety procedures, and all practices are reviewed and updated regularly to reflect current industry standards and Nepali regulatory requirements.

2. Hygiene & Sterilisation Standards

Tools & Equipment

  • All reusable tools (scissors, tweezers, nail implements, brushes) are fully sterilised between every client using hospital-grade disinfectant or autoclave sterilisation.
  • Disposable items — mascara wands, lip applicators, sponge applicators, lash adhesive applicators, and mehendi cones — are single-use only and discarded after each client.
  • Nail files, buffers, and orange sticks are single-use per client and are disposed of hygienically.

Product Application

  • Makeup products are never applied directly from the pan or tube. Artists decant product onto a sterilised palette using clean spatulas to prevent cross-contamination.
  • Skincare products are applied with clean, sterilised spatulas or single-use applicators.

Studio Cleanliness

  • All studios are thoroughly cleaned and sanitised at the start and end of every working day.
  • Treatment stations, chairs, and surface areas are cleaned between every client appointment.
  • Towels, capes, and linen are laundered at high temperature after each use.
  • Hand hygiene is performed by all artists before every client service.

3. DDA-Compliant Products

All cosmetic products and professional treatments used at Glow & Grace comply with the Department of Drug Administration (DDA) Cosmetics Regulations and are sourced from registered suppliers. We do not use products that have not been approved for use in Nepal or that contain prohibited ingredients.

Under Drug Act 2035 B.S. and DDA Cosmetics Regulations

All cosmetic products used in our studios are required to be registered with or approved by the DDA, and must comply with ingredient and labelling requirements under Nepali law. Clients may request product information for any product used during their service.

4. Allergy & Patch Testing

Patch tests are strongly recommended — and in some cases required — for the following services:

  • Hair colour, bleach, and chemical treatments (permanent and semi-permanent)
  • Keratin smoothing and chemical straightening treatments
  • Eyelash and eyebrow tinting
  • Lash lift and lash extension adhesive
  • Mehendi (henna) — particularly for black henna, which may contain PPD
  • Facial peels and chemical exfoliants

Patch tests must be conducted at least 48 hoursbefore the service appointment. Where a client declines a recommended patch test, we require written or verbal acknowledgement of the associated risks. Glow & Grace accepts no liability for adverse reactions where a patch test was declined or where relevant medical information was not disclosed.

5. Contra-Indications

Before commencing any chemical, facial, skin, or nail service, our artists conduct a brief health consultation. Certain conditions may contra-indicate specific treatments, including:

  • Active skin infections, open wounds, or inflammatory skin conditions in the treatment area
  • Recent cosmetic procedures (Botox, fillers, chemical peels, laser) within the preceding 2–4 weeks
  • Prescribed blood-thinning medications
  • Known allergy to common cosmetic ingredients (PPD, ammonia, latex, fragrance)
  • Pregnancy (for certain chemical, nail, and skin treatments — see Section 6)

We reserve the right to decline or modify a service where we believe it poses a risk to client safety. This is exercised in the best interest of the client and is not grounds for a refund demand where the contraindication was not previously disclosed.

6. Pregnant & Nursing Clients

We welcome pregnant clients and take extra care to ensure treatments are safe during pregnancy and while breastfeeding. Please inform our team at the time of booking if you are pregnant.

  • Hair colour and chemical treatments: generally deferred until the second trimester; we recommend consultation with your doctor first.
  • Nail services: gel and acrylic systems involve fumes — we provide enhanced ventilation; please inform us if you would prefer an alternative.
  • Facial treatments: certain active ingredients (retinoids, high-strength acids) are avoided during pregnancy.
  • Mehendi: natural henna is considered safe; black henna (PPD-based) is not recommended during pregnancy.

7. Client Medical Disclosure Obligation

By booking a service, you agree to inform Glow & Grace of any medical conditions, allergies, medications, recent procedures, or other factors that may affect the suitability or safety of your chosen service.

Failure to disclose relevant medical information that subsequently results in an adverse reaction releases Glow & Grace from liability, to the extent permitted by the Consumer Protection Act 2075 B.S.

8. Staff Qualifications & Training

All Glow & Grace artists hold recognised professional qualifications relevant to their discipline, issued by accredited beauty training institutions in Nepal or abroad. Our ongoing training programme includes:

  • Annual health, hygiene, and cross-contamination refresher training
  • First aid certification for at least one team member at every studio location
  • DDA product safety and ingredient awareness training
  • Skin condition identification and safe practice guidance

Under Labour Act 2074 B.S., Section 28

Employers are required to provide employees with a safe working environment, appropriate safety training, and personal protective equipment. Glow & Grace fulfils these obligations as part of our operational standards and annual review process.

9. Children in the Studio

Children are welcome at Glow & Grace for their own appointments. For the safety of all clients and to comply with the Children's Act 2075 B.S.:

  • Children under 16 must be accompanied by a parent or legal guardian for any service.
  • Children accompanying adults must remain seated and supervised at all times.
  • We reserve the right to pause or decline a service if an unsupervised child is causing safety concerns in the studio.

10. Infectious Disease & Public Health Protocol

During periods of elevated infectious disease risk or government-issued public health directives — as permitted or required under the Public Health Service Act 2075 B.S.— Glow & Grace may implement additional protocols including:

  • Mandatory mask-wearing for artists during close-contact services
  • Temperature screening at studio entry
  • Temporary service modifications or studio closures in compliance with government directives
  • Increased frequency of surface and air disinfection

Clients who are symptomatic or have been exposed to a communicable illness within 5 days of their appointment are asked to reschedule. We will accommodate rescheduling at no charge in such cases.

11. Incident Reporting

Any accident, injury, or adverse reaction that occurs on our premises must be reported to studio management immediately. We maintain a formal incident log in compliance with Labour Act 2074 B.S. occupational health requirements.

Serious incidents are reportable to the Department of Labour (Shrama Vibhag) in accordance with the Labour Rules 2075 B.S.
